Zoom Analytics: Insights on Phone Calls, Meetings, and Webinars

zoom analytics: insights on phone calls, meetings, and webinars
  • Limited options for creating personalized reports and dashboards

  • Difficulty in exporting and manipulating data for comprehensive analysis

  • Inability to merge Zoom data with alternative business systems or data sources

  • Inadequate analytics for Zoom meetings

  • Restricted visibility into trends over extended periods

Due to these limitations, organizations frequently find it challenging to transform their Zoom data into actionable month-end reports. As an accredited Zoom technology partner, Versich assists businesses in navigating these issues through our Zoom integration. This integration seamlessly exports Zoom data into an Azure SQL Server database, allowing connections to Power BI, Tableau, or any analytics software of your choice.

Versich also provides a complimentary Zoom analytics dashboard in Power BI, encompassing metrics for both phone calls and meeting performance. This article will thoroughly review the dashboard and discuss how to leverage the reported data for decision-making.

Zoom Phone Analytics Dashboard

The Zoom Phone Analytics dashboard evaluates various metrics, including call volume, answer rate, wait time, hold time, and average call duration. This dashboard empowers organizations to manage their inbound and outbound call activities while providing a consolidated view.

You will discover that this dashboard is most effective when you filter it to showcase either inbound or outbound calls alone.

Inbound Phone Call Analytics

Analyzing inbound call data is particularly significant for customer support teams or inbound sales personnel.

Our Zoom Phone Analytics dashboard swiftly reveals that not all incoming calls were answered. The accompanying bar chart illustrates the number of missed calls by hour, enabling call center managers to allocate additional staffing during peak times when unanswered calls are most frequent.

The table below indicates the call answer rate per agent. If particular agents are missing many calls, you may opt to redirect some of their calls to others. This table also shows the total wait time for callers before each agent answers. This insight allows for discussions with agents aimed at reducing wait times, ultimately enhancing the overall answer rate.

An essential objective for call centers is to minimize customer hold times. The middle bar chart displays the average hold time across different hours of the day. Hovering over any bar provides a tooltip with an extensive breakdown of hold times for each call.

Outbound Phone Call Analytics

Focusing on the outbound calls within the Zoom Phone Analytics dashboard primarily aids in assessing outbound sales team performance.

With this dashboard, management can quickly ascertain whether each agent meets their call targets. The call answer rate also offers significant knowledge regarding the quality of leads the sales team is contacting.

The bar chart illustrating answered versus unanswered calls by hour highlights the best opportunities for reaching leads. Similarly, the chart analyzing wait times by hour identifies periods when sales representatives experience the shortest wait times before their calls are answered. In this example, the prime calling window is between 12:00 PM and 3:00 PM, showcasing the highest answer rates and the lowest wait times.

The table below categorizes call volume by each sales representative, which includes their answer rate and average call length. This information allows you to evaluate how effectively each representative engages leads and maintains meaningful conversations.

Zoom Meeting Analytics Dashboard

The Zoom Meetings Dashboard monitors aspects such as the number of meetings held, average duration, and cumulative team hours spent in meetings. Its primary goal is to help you assess the time your team dedicates to meetings, identify their necessity, and reduce them where feasible.

The trend chart at the top displays daily meeting counts alongside total meeting hours. By clicking on any bar, you can filter the relevant table on the right to reveal specific meetings held on that day.

Bar charts are provided to break down meetings by host and department, making it possible to identify which teams invest the most time in meetings. The table on the right can also be switched to a calendar format, displaying each meeting by hour, with arrows at the top to navigate between dates.

Overall, the Zoom Meetings Analytics Dashboard contributes to measuring team productivity, collaboration habits, and meeting effectiveness. These valuable insights can assist in optimizing meeting schedules, pinpointing opportunities for process improvements, and ensuring that Zoom is employed efficiently throughout your organization.

Zoom Webinar Analytics Dashboard

The Zoom Webinar Analytics Dashboard tracks the flow from webinar registrations to actual attendance. It serves as an important tool for marketing teams tasked with attracting potential customers to webinars.

This particular dashboard isn't included in our standard reporting packages; it’s a custom solution developed for a client, integrating data from Zoom, Facebook Ads, and Google Ads.

The central funnel chart illustrates the conversion process from registrations to attendees. Filters at the top make it possible to categorize the funnel by webinar name, marketing initiative, or registrant country.

If you would like to create a similar dashboard for your organization, you can consult with our Power BI specialists who can assist in the process.

The second portion of the dashboard further segregates webinar registrations and attendance based on specialty. As these webinars were specifically tailored for medical professionals across various fields, this section allows you to monitor which specialties registered and which actually attended.
