The built-in Quote feature - standard for all SuiteCommerce sites - enhances both the user experience and that of Sales Representatives by automatically creating transaction records that can be efficiently managed within NetSuite. This function has the capacity to save your Sales team significant time and is highly adaptable.

Continue reading for an overview of the process from the viewpoints of both the customer and the employee:

Step 1: User Submits a Quote Request

By clicking the “Request a Quote” button in the standard header of a SuiteCommerce website, the user can select items for their quote request and add a note for their respective Sales Rep.

Step 2: Quote Request Acknowledgment

After the submission, the user will see a summary of their Quote Request; however, they will be unable to click the “View and Place Order Button” until their Sales Rep approves the Quote within NetSuite.

Step 3: Sales Rep Assesses the Quote Request

Inside NetSuite, the Sales Rep will notice a new entry for the submitted Quote Request under Transactions > Sales > Prepare Estimates.

This part of the process can be tailored so that every time a new quote request comes in, the designated sales rep gets an email containing a link to the estimate record.

Step 4: Sales Rep Prepares the Quote

While modifying this Estimate Record, the Sales Rep can change the individual prices of each item in the Quote (helpful for services lacking a fixed price) and apply discounts and shipping conditions that can be customized for each customer, based on factors like the company’s relationship with them and the size of their order, among others. They can also include a message for the customer and decide how the updated Quote should be sent (via My Account, email, etc.).

Step 5: Customer Reviews the Quote

The customer will find an updated quote in My Account and will have the choice to complete the Order, similar to a typical checkout procedure, or directly reach out to their Sales Rep for further discussions.

In this scenario, a Customer sought a quote for a Kit of Inventory Items along with a Service Item (which did not have a fixed cost). Subsequently, the Customer’s Sales Rep was automatically alerted of the Quote request via email, could apply the correct pricing to the Service Item, and had the option to add a discount to the order while responding with a personalized note. Ultimately, the Customer was able to purchase the contents of the Quote as if they were standard items in the Cart. This method streamlined the experiences of both users and employees, minimized unnecessary communication, and sped up the purchasing process.
