We recently completed a successful project for a software IoT company that was expanding globally and preparing for an IPO. If your organisation is considering an ERP integration, this serves as a guide to help recreate its achievements.
Establishing a Scalable NetSuite ERP Base for Rapid Expansion: An Introduction
Implementing an ERP system is among the most crucial tasks a business leader will undertake, often marking a significant milestone in their career. The magnitude of this endeavour can be daunting as you delve into its complexities and understand what’s at stake should it fail. We certainly recognise this challenge.
When businesses opt for an ERP partner, they are investing in a team that will shape their operations, reporting, workflows, customer interactions, employee acceptance, and in many instances, the organization’s ability to adapt to shifting demands. Such a heavy responsibility cannot thrive on mere technical expertise; that’s just the starting point. For a project of this significance to be successful, it requires effective guidance, transparency, responsiveness, teamwork, and a partner who fosters a supportive environment, especially when pressures mount.
Therefore, when a recent client approached us for assistance in preparing for accelerated growth and a future IPO, we were eager to demonstrate that they had chosen the right partner. Let’s explore this further.
Context
Before collaborating with Versich, our client recognised that their existing systems were insufficient for their ambitions. The company operated both domestically and internationally, relying on QuickBooks and fragmented operational processes that fell short in structure, scalability, and visibility, essential for a modern multi-subsidiary enterprise.
They realised what they required was not simply new software but a cohesive ERP system with a scalable framework, capable of supporting their projected long-term expansion. They sought a partner who could comprehend their intricate needs and convert that into a sustainable ERP solution.
The Challenge: Crafting a NetSuite ERP Implementation for Cross-Border Operations
The client initially enlisted Versich to spearhead the U.S. NetSuite implementation while ensuring that the system architecture would facilitate a future rollout in South America managed by a local implementation partner during Phase II.
This presented a distinctive challenge from day one: the U.S. setup had to be designed not just for current North American needs but also for future international scalability in complex global markets.
One of the primary complexities stemmed from the company’s rental business model.
This client had a distinctive approach, renting devices to customers while still needing to track these items as fixed assets within the NetSuite environment. This requirement could not be met through standard native functions, as typical workflows couldn’t effectively provide the visibility and volume demanded.
Simultaneously, the organisation had to manage multiple disconnected stakeholders across finance, accounting, inventory management, accounts payable, and accounts receivable - all while maintaining daily operations during a period of rapid growth with an impending IPO valuation. Hence, the pressure was twofold:
Implementing intricate ERP software within a complex multinational framework with specific needs and international standards.
Designing and rigorously testing the right operational system foundation, suitable for a rapidly evolving growth scenario that would pave the way for their future IPO and cross-border growth.
Our client entrusted us with their future, and their outlook was optimistic.
The Solution: Ensuring Longevity and Addressing Fixed Asset Tracking Requirements in NetSuite
Through collaborative workshops and discussions with the client’s internal team, we outlined the unique requirements, needs, and operational intricacies of their organisation, approaching the project with scalability in mind from the outset.
Given that their international market rollout was planned for a later phase, our team advised adopting NetSuite’s Work Orders and Assemblies feature early, allowing the organisation’s inventory and items to be structured correctly right from the start. This proactive step helped future-proof the setup and minimise the need for costly restructuring later.
Note: While this may appear to be a straightforward strategy, we often find ourselves in recovery projects where this foresight was lacking. Some implementation teams simply follow requirements without adding the crucial forward-thinking necessary for making suggestions that you might not consider outright.
To address the company's fixed asset tracking issue, We developed custom scripts enabling the client to maintain visibility of rented devices within the NetSuite ecosystem.
In addition to streamlining the organisation’s operational base and enhancing visibility of its fixed assets across its operational landscape, the implementation significantly improved its invoicing workflows and automation. Billing schedules were configured to automate previously manual processes, drastically reducing administrative burdens and enhancing consistency across all operations.
The Results: Transitioning from QuickBooks to a Robust NetSuite ERP Environment for Global Growth
Our client transitioned from a basic accounting setup to a much more refined and integrated ERP environment, one that is capable of supporting a growing international enterprise. Consequently, the organisation achieved: As the client scaled across multiple divisions and their transaction volume increased, manual invoicing would have quickly become an obstacle. By enhancing invoicing automation within NetSuite, the organisation minimised repetitive administrative tasks, improved billing consistency, and created a quicker, more reliable flow from operations to revenue recognition. This also helped reduce delays, lessen human error, and allowed finance teams more time to focus on strategic planning instead of chasing paperwork.
Automation of invoice approval processes to enhance financial efficiency
Operating in both the U.S. and internationally introduced an additional layer of operational complexity that necessitated careful system design from the outset. By prioritising scalability in the system architecture and creating a stronger operational foundation that connected subsidiaries, we ensured the U.S. implementation could accommodate future global expansions without requiring a redesign of its ERP structure and process flows later. By taking subsidiary relationships, workflows, and reporting needs into account early on, we readied our client for easier collaboration across international teams, smoother month-end processes, and an ERP system that provided greater visibility as additional entities came online to support its long-term operational maturation.
Establishment of a scalable multi-subsidiary ERP framework across the U.S. and global markets
As a business managing physical goods and inventory in various regions, clear visibility into inventory movement and asset tracking was vital for success. Improved traceability empowered teams to better oversee inventory status and workflows, while curtailing confusion, risks, and redundancies as the business expanded. This level of oversight also fostered greater accountability, enhanced reporting accuracy, and equipped leadership to make well-informed operational decisions grounded in reliable data.

Key Insights: A Concluding Note
Collaboration is Key
One vital factor contributing to the success of this project that often goes unmentioned is the active involvement of the internal team throughout the duration of the project. This engagement was crucial in keeping the implementation on track and facilitating successful adoption post-launch. This is exceptionally important. As we have reiterated, if your internal team is unable or unwilling to dedicate time to remain engaged during an ERP implementation, it's often wiser to delay than to proceed without this essential aspect in place.
Design for the Future, Not Just the Present
Go-Live is not the ultimate goal; it’s merely the beginning. Always ensure your initial structural development includes critical future functionalities. Failing to do so could result in costly restructuring down the line to accommodate upcoming growth needs. Our client’s successful implementation was possible because system design and mapping took future international expansion and anticipated growth into account before it became a necessity.
ERP Structure is as Crucial as ERP Software
The challenge was not just about “entering NetSuite.” It was about creating workflows and mapping out system solutions that accurately reflected the operational realities while understanding each process’s goals enough to refine workflows as necessary to better serve the organisation’s overall objectives. A proactive client team in combination with practical implementation support from Versich, enabled the project to stay adaptable, collaborative, maintain momentum, and remain focused on solutions throughout.
Trust is Fundamental
We work diligently to ensure our clients feel informed, prepared, and genuinely cared for throughout the journey. Building trust in the process is pivotal for project success, established long before go-live - through transparent communication, honest discussions, thoughtful planning, and the willingness to confront challenging realities early on rather than shying away from them.
Our definition of success as your implementation partner extends beyond just deploying software. For us, success lies in our ability to streamline complex workflows, mitigate unnecessary risks, future-proof your solutions, and help leadership feel secure with experienced guidance from the outset and well beyond the go-live celebrations.
Ultimately, our greatest achievement from the project is that our client’s team felt empowered by the system we designed.
