Background - The Client Challenge

The client is a biotechnology organization operating across the United States and the United Kingdom, running a multi-subsidiary structure inside a single NetSuite account. Employees across both regions submit expense reports routinely, and those reports flow through approval and posting as part of normal finance operations.

The problem centered on what happens after an expense report is approved. Once a report is approved and posted, it cannot simply be edited to fix a mistake such as a wrong project allocation, an incorrect class, or a miscoded line. The correct accounting treatment is to post an equal and opposite entry to reverse the original, then enter a fresh, corrected report. Done manually, this was slow, inconsistent, and error-prone.

The client wanted a controlled, repeatable process that finance staff could trigger directly from the approved expense report, with the reversal generated automatically and the corrected report pre-populated so the user only had to adjust what was actually wrong.

  • Reversing an approved expense report required manual re-keying of every header and line value into a new negative report.
  • Manual reversals introduced mismatches in subsidiary, currency, class, and project data between the original and the reversal.
  • There was no automatic link between the original report, its reversal, and the corrected version, making audit and reconciliation harder.
  • Employees were not consistently notified that a reversal had been raised and that a corrected report was required.
  • Finance needed the corrected report to open pre-filled with the original header details so staff would not rebuild it from scratch.
  • The process had to respect the multi-subsidiary setup, multiple currencies, and the client's existing custom expense form and approval logic.

To solve this, Versich designed and built an automated expense correction process inside NetSuite. The solution lets an authorized user reverse an approved expense report in a single action, automatically creates the negative replica, links all related records, notifies the employee, and opens a pre-populated corrected report for completion.

Our Solution - What Versich Built

We built the process using three coordinated SuiteScript 2.1 components that work together on the standard NetSuite Expense Report: a User Event script, a Client script, and a Suitelet. Together they manage the button experience, the server-side record creation, the field stamping, and the employee notification.

  • A confirmation dialog explains what will happen and warns the user that processing may take a short time, preventing duplicate clicks.
  • Once a reversal exists, the button logic hides it automatically so a report cannot be reversed twice.
  • A follow-up popup confirms the reversal, links to the new negative report, and offers a one-click path to start the corrected report.

  • The Suitelet loads the approved original and creates a negated replica of it, copying header details such as employee, subsidiary, currency, class, department, and location.
  • Line values are copied and the driver amounts are negated, so the reversal posts as an equal and opposite entry that keeps the ledger balanced.
  • The reversal is dated to the day it is created, while line-level dates are preserved from the original for accurate period reporting.
  • A duplicate guard prevents a second reversal from ever being generated for the same report.

  • The user simply enters the corrected line detail and saves the report themselves, keeping full control over the final submission.

How the Process Works

The process is designed around a single, guided flow that starts and ends on the expense report. The user triggers the reversal, the system creates and links the records, and the corrected report opens ready for completion.

  • A confirmation dialog asks the user to continue and advises that the reversal may take a short time to process.
  • On confirmation, the request is sent to the Suitelet, which performs all record operations on the server.
