Background The Client Challenge

The client A US based Consulting Company have a growing team of Data Analyst, Consultants and Engineers. As more people joined, the employee recognition process hadn't kept pace. Most recognition happened through quick shoutouts during meetings, which meant great work was often forgotten after a few days.

They wanted a simple system where colleagues could nominate each other, track the monthly leaderboard, and look back at previous winners. Most importantly, it needed to be fair and easy for everyone to use.

  • There was no formal way for colleagues to nominate each other, so recognition was often inconsistent.
  • There was no record of previous winners after a month passed, that recognition was basically forgotten.
  • Employees had no visibility into how nominations were progressing during the month.
  • As the team grew, managing nominations through emails and chat messages was no longer practical.

To solve this, we built a Power Apps nomination app using SharePoint as the backend. Since the client already had Microsoft 365 in their enterprise stack, there were no additional licensing costs, and the solution fit seamlessly into their existing environment.

Our Solution - What Versich Built

The App has five Canvas and each one does a specific job. SharePoint sits behind everything storing employee profiles, nominations, vote counts, and past MVP records. Here is how it all works.

SharePoint Backend

SharePoint Backend

  • SharePoint stores employee profiles, nominations, vote counts, and MVP history in structured lists.
  • Separate lists manage employee information, monthly nominations, vote totals, and historical MVP records.
  • The app enforces one nomination per employee each month, ensuring a fair voting process.
  • Power Apps connects directly to these lists using Microsoft's native connector, so no custom APIs or additional infrastructure are required.

Canvas 1 Welcome & Voting Status

  • When employees open the app, they're greeted by name and see their profile photo pulled directly from SharePoint.
  • If they've already submitted a nomination, the app shows who they voted for and prevents additional submissions during that month.
  • If an employee has not yet voted, a prominent Nominate a Colleague button is displayed.
  • At the bottom there are links to the Leaderboard and MVP History so you can check those out even before or after you vote

Canvas 2 & 3 Colleague List and Nomination Form

  • Canvas 2 shows everyone on the team with their photo and name. Employees can browse the list of colleagues and select the person they wish to nominate.
  • Employees name does not appear in the list so you cannot nominate yourself.
  • Once Employees pick someone, Canvas 3 opens with their name at the top and a text box where they write the nomination reason
  • Once confirmed, the nomination is saved to SharePoint, including the nominator, nominee, and reason. The vote count updates immediately.
  • After submission, the user is returned to the home canvas, where their voting status is updated for the remainder of the month

Canvas 4 & 5 Leaderboard and MVP History

  • Canvas 4 is the live leaderboard. Everyone is ranked by how many nominations they have gotten. It updates the moment a new vote comes in
  • Canvas 5 displays previous MVP winners along with the month they were recognized, creating a permanent record of employee achievements over time.
  • From both Canvas you can head back to the home Canvas to vote if you have not done it yet
  • Anyone can check the leaderboard or history at any time, whether they have voted or not. We wanted it to be open for everyone

Business Impact

A Fair, Transparent Peer Nomination Process

A Fair, Transparent Peer Nomination Process

The client went from a vague, informal recognition culture to something everyone can actually participate in. People can nominate, watch the leaderboard, and see the history. The new process provides a consistent and transparent way for employees to recognize one another every month.

Stronger Employee Engagement and Team Culture

Stronger Employee Engagement and Team Culture

The app created a more engaging recognition culture by making appreciation visible, structured, and continuous. Instead of recognition happening only in meetings or private chats, employees now have a central place to celebrate colleagues’ contributions every month. This helps build a stronger team culture, encourages positive peer-to-peer recognition, and makes employees feel more valued across the business.

Motivation for more productivity

Motivation for more productivity

As employees can be nominated based on their impact, it motivates employees to increase productivity, ship updates that drives the business in a positive direction and their hardwork isn’t going unnoticed by their colleagues, team and the business.

One Vote Per Person Integrity Guaranteed

One Vote Per Person Integrity Guaranteed

The one-vote rule is enforced by both the application logic and the underlying SharePoint data, ensuring every nomination is valid. Every nomination that goes in is logged with a timestamp in SharePoint.

Zero Additional Licensing Cost

Zero Additional Licensing Cost

We built this entirely using tools the client already had - Power Apps and SharePoint. No new subscriptions, no vendor negotiations. It cost us nothing extra to run.

A Growing Recognition Record

A Growing Recognition Record

Every vote and every monthly winner is saved in SharePoint permanently. Over time, this creates a valuable recognition history that managers can use during performance reviews and reward discussions. It also helps identify employees who are consistently recognized by their peers.
