Background The Client Challenge

Our client is a UK-based facilities services company providing building maintenance, HVAC servicing, electrical systems upkeep, and industrial equipment repair to commercial and public sector clients across the country. With more than 18,000 employees field engineers, technical supervisors, contract managers, and admin staff it runs one of the more complex HR and operational workforces in its sector.

For a company this size, there was no centralised way to see the workforce as a whole. Workforce records, performance data, payroll, and operational metrics each lived in their own system an HRIS, a payroll platform, a field service management tool, and a contract management system with nothing connecting them:

• Headcount, FTEs, and paid hours each told a different story depending on which of the four systems you checked, with no reliable way to combine them
• Contract expiry dates weren't tracked proactively, which meant renewal delays and compliance exposure
• There was no visibility into how field engineers were actually performing task completion, productivity, none of it was tracked centrally across contracts or regions
• Cost analysis and budgeting depended on manually built spreadsheets, eating significant management time and prone to error
• Leadership had no live performance view at all every report request meant pulling data from multiple systems by hand and waiting days for it to come together
