Background The Client Challenge

Our client is a UK-based facilities services company providing building maintenance, HVAC servicing, electrical systems upkeep, and industrial equipment repair to commercial and public sector clients across the United Kingdom. With a workforce of over 18,000 employees including field engineers, technical supervisors, contract managers, and administrative staff the company manages one of the most complex HR and operational workforces in its sector.

Despite its scale, the company had no centralized business intelligence capability. Workforce data, performance records, payroll information, and operational metrics were spread across four separate systems an HRIS, a payroll platform, a field service management tool, and a contract management system with no integration between them and no unified reporting layer. This created critical blind spots across the business.

  • No single view of the full workforce headcount, contract types, FTEs, and paid hours data existed in four disconnected systems with no way to combine them reliably
  • HR managers could not monitor contract expiry dates proactively leading to delays in renewal procedures and compliance risks

  • Conducted structured discovery workshops with HR directors, regional operations managers, finance leads, and IT stakeholders to define reporting requirements across all business functions
  • Audited all four source systems HRIS, payroll platform, field service management tool, and contract management system to assess data structure, field naming conventions, and data quality
  • Identified key data discrepancies between systems including mismatched employee IDs, inconsistent job title abbreviations, and differing contract type classifications and documented resolution rules for each
  • Defined the target report suite: 20+ Power BI reports and dashboards covering employee master data, headcount analytics, FTE tracking, paid and unpaid hours analysis, task fulfilment monitoring, and personnel cost reporting

Data Warehouse Build & Integration

Data Warehouse Build & Integration

  • Built a centralized Microsoft SQL Server data warehouse as the single source of truth for all workforce, payroll, operational, and contract data across the business
  • Developed ETL pipelines using Python to extract, cleanse, transform, and load data from all four source systems on a scheduled basis
  • Implemented automated discrepancy detection logic within the ETL pipeline flagging and resolving mismatches in employee records, job codes, contract classifications, and pay rate data before loading
  • Designed an analytical OLAP cube with 16 dimensions and 22 measures covering employee demographics, contract details, FTE calculations, hours worked, task performance metrics, and personnel cost breakdowns

Power BI Report & Dashboard Development

  • Delivered 20+ Power BI report templates covering employee master data (name, ID, contact details, job position, contract type, hire date, and contract termination date), headcount by department and region, FTE tracking, hourly rate analysis by job position, paid and unpaid hours reporting, and personnel cost summaries
  • Built contract expiry monitoring dashboards enabling HR managers to track upcoming contract termination dates and trigger renewal or offboarding procedures well in advance
  • Developed task fulfilment dashboards for operational managers tracking field engineer productivity, job completion rates, and SLA adherence across all service contracts and geographic regions
  • Implemented drill-down capability across all reports enabling senior leadership to navigate from company-wide summary views down to individual employee, contract, or job level
